Full-time position - 40 hours per week
2026 wage range is $23.98 - $32.74 per hour, plus benefits. 
(Hiring wage: $23.98 depending on qualifications)

Under the direction of the County Auditor-Treasurer, the Elections Coordinator is responsible for implementing, coordinating and performing election functions and duties in accordance with the election laws, rules and procedures and processes established in conjunction with the Elections Administrator (e.g. County Auditor-Treasurer).  This position is also expected to provide support and assistance in handling property tax functions and for providing general administrative support functions in the Auditor-Treasurer Department.

Duties/Responsibilities

  1. Implements, coordinates and performs election responsibilities in accordance with election laws, rules and procedures under the direction and processes established in conjunction with the Elections Administrator (e.g. County Auditor-Treasurer). 
    1. Analyzes and clarifies current and proposed rules and laws pertaining to elections in conjunction with the Elections Administrator
    2. Responds to public and agency inquiries on election-related matters
    3. Accepts, collects and files affidavits of candidacy, filing fees and campaign disclosure forms.
    4. Orders and proofs ballots, prepares training materials, reports, and other documents relating to the election process.  Ensures the safe keeping of election materials, including all ballots
    5. Orders and distributes election supplies, equipment maintenance and testing for all 24 precincts in Sibley County and school districts, when needed.
    6. Prepares supplies and documents needed for administration of election at polling place level as well as county level for mail balloting and absentee voting
    7. Maintains contact with city officials, township officials, and various other offices and agencies concerning election-related materials, procedures, laws, or requests
    8. Conducts trainings to election officials, the ballot board, healthcare facility judges, and election support staff
    9. Administers county-wide absentee voting
    10. Assists in election tabulations; troubleshoots election equipment related software/hardware issues during elections and assists election judges/clerks with questions and/or problems prior to the election and on election day
    11. Compiles, verifies, prepares, and/or submits election reports, results and abstracts requested by the State, County, cities, townships, and schools
    12. Maintains statewide voter registration system
    13. Enters and maintains manual and/or computerized records to keep voter registrations and changes updated
    14. Edits, corrects, and verifies all relevant public and private information
    15. Screens, verifies and enters new registrants
    16. Posts election history records
    17. Generates all appropriate reports
    18. Direct communication and supervision of elections temp employee during the 46 days before each election
  2. Performs a variety of responsibilities associated with the tax and financial aspects of the County Auditor-Treasurer Department
    1. Maintains a cash drawer for property tax purposes, collecting property tax payments via mail, electronic payments &/or in person.
    2. Processes receipts for departments county wide
    3. Answers questions of the public regarding parcel, ditch and/or special assessment questions and issues.
    4. Assists the public with basic property tax issues, concerns or information.  Answers questions regarding property tax amounts due, delinquent taxes, penalties, property values, homestead information, legal descriptions, etc.
    5. Integral part of the accounts payable process including proofing data, reconciling checks and filing of information
  3. Provides various administrative support, clerical and customer service functions for the Auditor-Treasurer’s Office.  Duties include such representative duties as:
    1. Answers department phones, provides information and/or routes callers to appropriate parties.
    2. Processes incoming and outgoing mail for the department, Provides and receives information in a timely manner
    3. Schedules staff meetings and assists in the preparation of meeting agendas
    4. Prepares and posts notices for publication
    5. Enters claims from invoices for department head approval
    6. Scans documents in imaging system for indexing, filing and/or archiving
    7. Updates department website
    8. Schedules meeting rooms within the courthouse and coordinates with building maintenance personnel regarding needed set up, if indicated
    9. Orders and maintains office supplies for the entire courthouse
    10. Data input for various reports and programs as directed, Coordinate and complete LUCA information for Census
    11. May participate in department interviews at the request of the County Auditor-Treasurer.
    12. Prepares various grant audit information for submission to the State
    13. Co-administrator of the procurement card program
    14. Reviews payroll information and audits for accuracy 
  4. Performs other duties of a comparable level or type, as required. 
  5. Employees must consistently report to work as scheduled and maintain regular attendance.

Minimum Requirements

Minimum education required is a High School Diploma/GED.
Minimum of 2 years related work experience.  Specialized schooling and training equivalent to an AA in a related field can substitute for experience requirement on an equivalent basis.
Requires a valid driver’s license in the State of MN.  If not currently certified will be required to obtain MN Secretary of State Elections Administrator Certification after hire.

    Duties of the job are performed in a typical office environment. While the incumbent may be subject occasionally to irate or angry citizens making the job less than desirable, the physical and environmental hazards and risks associated with the job can be characterized as minimal.
