Description

The Community Engagement Project Manager supports the Library’s Public Affairs team by coordinating, executing, and evaluating a wide range of marketing, communications, and community engagement projects. This position plays a key role in advancing the Library’s public-facing initiatives by ensuring projects are delivered on time and with a high standard of quality.


Working under the direction of the Public Affairs Director, the Project Manager oversees projects from initial concept and planning through implementation, evaluation, and reporting. The role includes cross-departmental coordination, development and tracking of timelines and deliverables, and logistical support for Library programs and events. The Project Manager is extremely organized and contributes to the effectiveness of departmental operations through administrative support, project planning, and strong internal and external communication.


The Project Manager serves as an effective, collaborative member of the public affairs team by supporting colleagues, contributing to system-wide initiatives, and helping maintain a positive, productive team environment. This is done while contributing creative ideas, problem solving, and continuously improving the planning and execution of marketing and communication projects. All Public Affairs staff also assist with staffing Signature Events and other large programs.


This is a full-time position with a starting salary of $53,910 plus excellent benefits


Job Duties (Essential Functions)

Project Management & Coordination

  • Leads projects from initial concept through execution and final evaluation, ensuring alignment with organizational goals and Public Affairs priorities.
  • Develops project scopes, timelines, workflows, and deliverables in collaboration with colleagues and external partners.
  • Monitors project progress, identifies risks or obstacles, and implements solutions to maintain project momentum.
  • Coordinates stakeholder input and ensures clear communication among internal teams, external partners, and vendors.
  • Prepares regular status updates, project reports, and post-project evaluations.

Marketing, Communications & Public Affairs Support

  • Supports the development and implementation of marketing and communications campaigns, including content planning, audience targeting, and coordination of promotional materials.
  • Collaborates with Public Affairs and Digital Branch staff to enhance the visibility and impact of Library programs, services, and community engagement initiatives.
  • Assists with collecting, organizing, and reporting on metrics related to Public Affairs project performance.

Events & Program Support

  • Manages logistics for events, including planning, scheduling, vendor coordination, staff communication, event promotion, and on-site support.
  • Ensures event processes, communications, and outcomes are documented and evaluated.
  • Provides customer-facing support during programs and public engagement activities, including regularly staffing Signature Events.

Administrative & Operational Support

  • Supports departmental workflow through scheduling, meeting coordination, and management of calendars, correspondence, and follow up.
  • Maintains accurate documentation, organized digital and physical filing systems, and project archives.
  • Assists with budget tracking, invoice processing, and vendor communication as needed.
Requirements

Knowledge, Skills, and Abilities

  1. Demonstrated ability to organize and manage complex projects, set priorities, and meet deadlines with minimal supervision.
  2. Strong written and verbal communication skills, including preparation of professional correspondence and reports.
  3. Ability to analyze information, think critically, and apply sound judgment in complex or time-sensitive situations.
  4. Demonstrated success in building effective working relationships with colleagues, community partners, and the public.
  5. Skilled at balancing immediate needs with long-term strategic goals and understanding how projects connect to broader organizational priorities.
  6. Ability to maintain confidentiality and handle sensitive issues with discretion.
  7. Advanced computer proficiency, including Microsoft Office Suite, Canva, project management tools, and event management platforms such as Eventbrite.
  8. Strong organizational abilities and attention to detail, with experience managing documentation, schedules, and workflow processes.
  9. Customer-service orientation, with the ability to represent the Library professionally in community and partner interactions.
  10. Ability to speak and understand English is required. Additional consideration will be given to individuals that are proficient in any non-English languages spoken in Jackson County, MO including Spanish, American Sign Language, Vietnamese, French, Arabic, and Swahili.

Required Education and Experience

  • Bachelor’s degree in project management, marketing, communications, public administration, or a related field. The degree may be substituted by comparable amount of professional experience in these fields.
  • At least two years of related experience in project management, marketing/communications support, program coordination, administrative services, or a similar role.

Work Environment

Work is performed at the Library’s Administrative Annex and Library Branches throughout the district. Primary workspace is shared with co-workers in an office environment, other work will be performed in a public space amongst staff and patrons from a diverse socio-economic community.
